Shipping, Move-in & Move-out Information

As you prepare for the event, please review the shipping and logistical information below to decide which options will work best for you. Be sure to review all of this information to avoid surprises on-site.

Shipping Your Exhibit

Label All Freight

For your convenience, shipping labels have been included below for you to print. Make sure all freight is clearly marked with your company name, event name, and your booth number. You can contact Freeman directly to obtain any related costs associated with either shipping option. You can contact the carrier of your choice, including SAIA Freight, to obtain any related costs associated with shipping. Exhibitors are solely responsible for all costs related to inbound/outbound shipping.

Heavy Machinery NOT Permitted Heavy machinery is not permitted in the exhibit hall due to building restrictions in the ballroom area.
International Freight Neither RES nor the Donald E. Stephens Convention Center can provide a tax ID number for customs clearance. It is the responsibility of a licensed customs broker to provide this service and ensure passage of show materials into the United States. All freight should be consigned to a certified broker for customs clearance. If your company does not have a customs broker please call Airways Freight at 800-643-3525 for international shipping assistance.

Shipping Options

If you will be shipping your materials to the event, review your two options below. You can contact Freeman directly to obtain any related costs associated with either option. 

1) Ship in Advance to the RES Warehouse

We strongly encourage all exhibitors to ship to the RES Warehouse in advance to ensure that your materials will be in your booth so you can begin installation as soon as you arrive!

RES will accept crated, boxed, or skidded materials beginning Thursday, May 15, 2026 and will deliver the shipment to your booth. Warehouse materials are accepted Monday through Friday between 7:00am – 3:00pm.

Deliver by June 1, 2026 to receive a discounted rate. After June 1, 2026, the standard rate applies. To guarantee delivery to your booth for move-in, materials must arrive no later than Sunday, June 14, 2026. You can contact RES directly to obtain any costs associated with this shipping option.

Use the label linked below for your exhibit materials. Note: the advance warehouse can accommodate display shipments, but cannot facilitate machinery or container deliveries.

**For shipping questions or to confirm delivery of your warehouse shipment, please call RES Warehouse (847) 678-0374. Normal warehouse hours are 7:00 am to 3:00 pm Monday thru Friday. 

2) Send Shipments Direct to the Venue

Freight will be received at the facility beginning Monday, June 15, 2026. Shipments to the Donald E. Stephens Convention Center should be timed to arrive on June 15, 2026 only. Shipments arriving before this date may be refused by the facility and incur additional charges. Make sure ALL FREIGHT is clearly marked with your company name, IESNA Midwest, and your booth number. You can contact RES directly to obtain any related costs associated with this shipping option.

Please note: All materials received by RES are subject to Material Handling Charges and are the responsibility of the Exhibitor. This also applies to items not ordered through the Official Show Vendors. Refer to the material handling information in the RES Exhibitor Manual linked above.

Move-in & Installation of Your Exhibit

Installation & Move-in Hours

The installation of exhibits will take place as follows:

  • Monday, June 15, 2026                   11:00 AM - 4:00 PM

All freight must be moved in, exhibits set up, and aisles clear by 7:00 PM, Monday, June 15th.

*Availability of move in services ends at 4 PM but exhibitors may stay in the exhibit hall until 7:00pm.

RES will unload and deliver shipments directly to the exhibitor’s booth. Material Handling fees will apply.

RES Shipping vs. Material Handling
Personally Operated Vehicles
Exhibitors planning to unload items from their own vehicle may park in the William St. Garage. The garage has a max vehicle height of 7’ 3”.

 Materials can be hand-carried across the skybridge into the ballroom during exhibitor move-in hours. Exhibitors may only use their own hand-operated equipment (dollies, hand trucks, and push carts). Any other motorized or mechanical equipment is not permitted.

Labor Jurisdiction

Exhibitors may set up and dismantle their own booth displays, as well as perform the various tasks outlined below, provided the work is being done by full-time employees of the exhibiting company. No outside workers are permitted to provide set-up and dismantle services unless they are members of a Chicagoland Carpenter Union Local with valid trade show jurisdictions. Proof of employment for exhibiting company shall be required. 

Exhibitor Allowances:
1.    Set up and dismantle their own booth displays and perform all tasks listed below (must be full-time employees of exhibiting company)
2.    Use hand tools and power tools to perform work within their booths
3.    Affix clamp-on lights to the top of their booth displays
4.    Calibrate and do repair work on internal circuit boards, and do interconnecting of peripheral computer equipment
5.    Connect lighting, video equipment and light bulbs to an electrical outlet when the outlet has been ordered by the exhibitor
6.    Hang pictures, graphics, logos, etc. onto a backwall display when such items are designed to be affixed by pre-set velcro strips, permanently mounted hooks, or snaps
7.    Hand carry small packages, pop-up displays and desktop computer equipment provided it can be done: 

o    Without the use of a fork-lift, flat cart or dolly
o    Only from a designated parking area

8.    Inflate balloons
9.    Video taping may be done by exhibitors within the confines of their own booths using equipment owned or rented by the exhibiting company, provided such taping does not conflict with show management regulations, and does not require tools or ladders
10.    Un-pack, re-pack and set out their own product line within the booth for display purposes

Empty Stickers When your crates, cartons and other containers are empty, obtain EMPTY STICKERS from RES Service Center located on the exhibit hall floor.  Use the stickers to mark your crates, cartons and containers with your company name and booth number. Leave the items in the aisle for pick up and storage.  Labeled materials will be returned at the end of the show. Remove old empty stickers.  Old stickers could result in empties being delivered to the wrong booth.  Do not store anything in these crates or cartons.  You will not be able to access them once they are removed to storage.

Move-out and Dismantling your Exhibit

Dismantling & Move-out Hours

The dismantling of exhibits will take place as follows:

  • Wednesday, June 17        3:00 PM – 5:00 PM

No display material, in whole or in part, may be removed from the exhibit area prior to the close of the event at 3:00 PM on Wednesday, June 17th. 

Returning Your Freight

To assist you in setting up your OUTGOING SHIPMENT, Rosemont Exposition Services will have a drayage desk located at the Exhibitor's Service Center. Labels, shipping instruction forms and shipping information will be available. All outbound shipments must have a completed RES bill of lading turned into the RES Service Center for your freight to be moved off the show floor and released to your carrier. An outside bill of lading will not be accepted. Be sure your carrier knows the company name, booth number, destination of freight, and company/broker name when planning to pick up your exhibit at the close of the show.

All exhibitor materials must be removed from the exhibit facility by 5:00pm on June 17, 2026. Items not picked up by this time will risk the possibility of their shipments going out on the house carrier at the exhibitor’s expense. 

Outbound Carriers All carriers must check-in no later than 4:00 PM on Wednesday,  June 17th. Drivers not checked in by this time will risk the possibility of their shipments going out on the house carrier at the exhibitor’s expense. Be sure your carrier knows the company name and booth number when arranging for shipping your exhibit at the close of the show.
